Consent and privacy records — where consent or acknowledgement is obtained, we may keep evidence including the notice presented, notice version, consent wording and version, purposes, date and time, form/source, consent status, and withdrawal status and date, retained as necessary to demonstrate compliance and resolve disputes.
3. Why we process personal data
Enquiries and consultations — to respond to enquiries, understand requirements, communicate with you, arrange consultations or site visits, prepare estimates/quotations/proposals, and follow up.
Project evaluation and delivery — to evaluate requirements; prepare designs, specifications, estimates or proposals; plan and coordinate execution; procure materials or services; allocate execution resources; supervise and manage projects; conduct quality control; manage documentation; communicate progress; and provide after-project support.
Partner matching — NovoOffice operates through an ecosystem of contractors, consultants, suppliers, vendors and execution partners. Where reasonably necessary, relevant information may be used to identify suitable partners and obtain technical inputs, pricing, availability or execution support.
Partner/vendor management — to evaluate applications; verify credentials; conduct due diligence; assess capabilities; onboard or empanel partners; allocate opportunities; manage performance and quality; administer contracts and payments; and maintain the relationship.
Business administration — invoicing, accounting, taxation, contractual administration, internal reporting, fraud prevention, information security, dispute management, audits, and compliance with applicable law.
Marketing — we do not currently send marketing communications. If we do in future, we will obtain any consent required, kept separate from the consent or information needed to provide the requested service.
4. Grounds for processing
We process personal data only for lawful purposes. Depending on the circumstances and applicable law, processing may occur with your consent; for the specified purpose for which you voluntarily provide personal data where its use is permitted by law; where required to comply with legal obligations; or under another ground permitted by law.
Where processing is based on consent, you may withdraw it using the mechanisms in this notice. Withdrawal does not affect processing lawfully undertaken before it. Where information remains necessary to fulfil a contract, meet a legal obligation, establish or defend legal claims, or for another purpose permitted by law, certain information may continue to be retained or processed despite withdrawal.
5. How we share personal data
NovoOffice does not sell or trade personal data. We share information only where reasonably necessary for the purposes described here.
NovoOffice execution and supply network — relevant project information may be shared with appropriate authorised or empanelled execution partners; contractors and subcontractors; architects and designers; project consultants; MEP and other technical consultants; furniture manufacturers or suppliers; material suppliers; logistics providers; and other vendors involved in evaluating, pricing, planning or delivering the requirement. Only information reasonably necessary for the relevant purpose is shared.
Technology and service providers — we may use service providers supporting functions such as website hosting; cloud infrastructure; email; SMS or business communications; CRM; project management; document management; customer support; analytics; cybersecurity; backup and recovery; and payment processing. Such providers may process personal data to provide services to NovoOffice and are expected to handle it in line with applicable contractual and legal requirements.
Professional advisers — information may be shared where necessary with lawyers, accountants, auditors, insurers and consultants.
Legal and regulatory — we may disclose personal data where reasonably necessary to comply with law; respond to lawful governmental, regulatory or judicial requirements; enforce contractual or legal rights; investigate suspected fraud or unlawful activity; or establish, exercise or defend legal claims.
6. International processing and transfers
Some technology or service providers we use may operate infrastructure or process information outside India. Where personal data is transferred or processed outside India, we will take the steps reasonably required to comply with applicable Indian data-protection law and any restrictions notified by the Government of India. As NovoOffice expands internationally, separate or supplementary privacy notices may apply to users, customers or projects in other jurisdictions.
7. Data retention
We retain personal data only as long as reasonably necessary for the purpose collected or as required or permitted by law. Indicatively: unconverted enquiries — normally up to 24 months from the last meaningful interaction, unless a longer period is reasonably required; customer and project records — during the relationship and thereafter as reasonably necessary for contractual, warranty, accounting, taxation, dispute and legal purposes; partner and vendor records — during evaluation and the relationship and thereafter as reasonably necessary for business, contractual, taxation, audit, dispute or legal requirements; consent and compliance records — for an appropriate period for legal, regulatory or evidentiary purposes. When personal data is no longer reasonably required, we take appropriate steps to delete or anonymise it, subject to applicable legal requirements.
8. Data security
We implement reasonable technical, organisational and administrative safeguards to protect personal data against unauthorised access, disclosure, alteration, loss, misuse and unlawful processing. Depending on the systems involved, safeguards may include access controls; authentication controls; secure transmission; role-based permissions; activity and security logging; backups; system monitoring; and appropriate contractual requirements for service providers. No internet-based or electronic system can be guaranteed completely secure.
9. Personal-data breaches
We maintain or intend to maintain procedures to identify, investigate, contain and respond to personal-data security incidents. Where notification of a breach to affected individuals, the Data Protection Board of India or another authority is required by law, we will take the steps required.
10. Your privacy rights
Subject to the DPDP Act and other applicable law as relevant provisions apply, you may have the right to request information about personal data being processed; request correction of inaccurate or misleading data; request completion of incomplete data; request updating of data; request erasure where applicable; withdraw consent where consent is the basis; raise a grievance; and nominate another individual to exercise applicable rights in the event of death or incapacity. Certain requests may be subject to exceptions, retention requirements and other conditions permitted by law.
11. Exercising your rights
You may submit a privacy request — access, correction/update, erasure, withdrawal of consent, or a grievance — by email to privacy@novooffice.com. We may take reasonable steps to verify your identity before acting on a request.
12. Withdrawal of consent
Where processing is based on consent, you may withdraw it by emailing privacy@novooffice.com. We aim to make withdrawal comparable in ease to giving consent. Following a valid withdrawal, processing based on that consent will cease except where continued processing is required or permitted by law.
13. Grievance redressal
For questions, privacy requests or grievances relating to personal data, contact our Grievance Officer, Tanmay Sood, at privacy@novooffice.com, or by post at BuildSaathi Infratech Private Limited, First Floor, D-6/418, Chitrakoot Scheme, Vaishali Nagar, Jaipur – 302021, Rajasthan. We handle grievances in accordance with applicable law and our internal process. Where applicable, after using our grievance mechanism, you may approach the Data Protection Board of India under the DPDP Act and Rules.
14. Children
NovoOffice provides commercial and business services and is not directed at children. We do not intentionally seek personal data from individuals under 18 through our ordinary business-enquiry services. If we become aware that a child's personal data has been collected in circumstances requiring parental or guardian consent under applicable law, we will take appropriate steps.
15. Cookies and similar technologies
We currently use only essential cookies necessary for website operation, security and user preferences (such as remembering your country/region). We do not currently use advertising or cross-site tracking cookies. If analytics, advertising or other non-essential technologies are deployed in future, we will update this disclosure and implement consent or preference mechanisms where required by law. You can control certain cookies through your browser settings.

We may update this notice from time to time to reflect changes in our services, operations, technology, data-processing practices or legal requirements. The revised notice will show an updated "Last updated" date and version. Where required by law, we will provide additional notice or obtain fresh consent before materially changing a processing activity for which such notice or consent is required.
